How a 12-person studio closed October in two hours

Kiln Studio moved from one shared card to a card per person. Here is what changed at month end.

Kiln Studio used to pass one company card between twelve people. Every month someone lost a day matching receipts to a long statement, and every month a few payments stayed a mystery.

The shared card problem

One card meant one statement with no names on it. Fonts, stock photos, client lunches and train tickets all looked the same.

One card per person

They gave every designer a card with a monthly limit and turned on receipt reminders. Payments now arrive already labelled by person and project.

“October closed in two hours. I review spend once a week now, and it takes ten minutes with a coffee.”

Lena Fischer, studio lead at Kiln Studio

Three things that made the difference

  • Limits based on what each person really spends

  • Receipt reminders the moment a card is used

  • Project tags on every payment
